Sites and monuments record

Commercial and professional users

The Humber Sites and Monuments Record (SMR) is available for commercial and professional consultation. It covers Hull and the East Riding of Yorkshire. We have a computerised system running the Historic Buildings, SMR database (exeGesIS) with MapInfo Geographical Information Service (GIS). We hold 1:10,000 base maps for the whole of the area we cover. We also have larger scale maps for our towns and most of our villages. All the maps are annotated with archaeological sites providing a picture of the archaeological and historical landscapes. We also have an extensive collection of aerial photographs and slides, an extensive collection of fieldwork reports and a wide range of other paper and documents relating to all known archaeological and historic sites in Kingston upon Hull and the East Riding of Yorkshire.

Searches can be undertaken of the digital and paper records. It is highly recommended that researchers visit the offices for themselves and look at the wide range of information we have available for consultation. However, we do appreciate that this is not always possible so we can provide print-outs of basic SMR information or detailed searches for an area, or a particular period of time, on request. Searches can be provided as hard copies or digital searches.

Booking an appointment

When you book an appointment to visit the SMR  we need your contact phone number. You will need to tell us your area, or the period, of interest as well as the reason for needing to consult the record. It is better to send a location map of the search area to us in advance of your visit. We also need to know if  you expect to stay for a whole session or a whole day. You will need to complete a User Guideline Form in advance of consulting the archaeological record. This will be provided at the start of your visit, together with the Policy for Users of the SMR. It is also helpful if you tell us the type of information you wish to consult in addition to the SMR data - for example local plans or fieldwork reports that may not be accessible on the public record, but may be available for consultation on request.

If you request a search to be carried out on your behalf you must read the Policy for Using the SMR and complete the User Guideline Form, prior to us sending you any information. Charges will need to be agreed in advance of any search undertaken. A location plan must be provided for all search areas, and this should be provided as a polygon if a digital search is required. We will also need information on the nature of the enquiry; for example is this information for part of an Environmental Impact Assessment, if so, is development control advice also required? As a user, will you require just the information on the archaeological sites and finds, or will you also require information on the archaeological interventions that have taken place?

Payment for the service

Our charges for using the service are £50 for the hour and £50 per hour for any subsequent time, but this can be charged in half hour units. Photocopying charges will apply at 30p for an A4 sheet and 50p for an A3 sheet. Any amount that is invoiced will be subject to VAT. We do not usually charge visitors for staff time, as the first ten minutes is deemed as free, and this usually covers the staff time involved. However, if more than 10 minutes of staff time is used during a visit, an invoice will be raised according to the above charges. Commercial users who carry out a lot of photocopying may ask for an invoice to be raised to cover the costs of this. Otherwise payments can be made in cash, or by cheques made payable to Hull City Council. Receipts can be provided on request.
